Beamin — Terms of Service

Effective date: 01/09/2026

Important subscription information

Your subscription has an initial commitment of 12 months. You may give notice to cancel at any time. Unless you have a statutory or contractual right to end the agreement early, cancellation takes effect at the end of the initial 12-month term. You must continue paying the agreed subscription fees until that date, and the service will remain available during that period. Beamin provides software that enables you to maintain digital records and make submissions to HM Revenue & Customs (“HMRC”). Beamin does not act as your tax agent, accountant or representative, and does not assume responsibility for your tax affairs. Your price, payment frequency, subscription dates, included features and covered filing periods will be displayed before you subscribe and confirmed in your Order Summary.

1. About these terms

These Terms of Service govern the Beamin digital tax and accounting software offered through beamin.co.uk/bolt, the Beamin application and any related platform. The service is provided by Beamin Limited, a company registered in England and Wales under company number 14555046, whose registered office is at 2nd Floor Radcliffe House, Solihull, England, B91 2AA (“Beamin”, “we”, “us” or “our”). “You” means the person subscribing to and using the software. These terms, your Order Summary and our Privacy Policy form the agreement between you and Beamin. If they conflict, the Order Summary takes priority concerning your selected product, price, payment frequency, start date and included features.

2. Our role

Beamin is a software and technology provider. Beamin does not:
  • act as your tax agent or representative;
  • communicate with HMRC as your appointed tax agent;
  • accept notices, enquiries or correspondence from HMRC on your behalf;
  • provide legal, investment or regulated financial advice;
  • make decisions about your tax position for you;
  • guarantee that information entered by you is accurate or complete;
  • guarantee your eligibility for a tax scheme, relief or deduction; or
  • assume your legal responsibility for keeping records, submitting returns or paying tax.
The software may calculate figures, organise information, identify potential errors and generate submissions using the information you enter or connect to the platform. These functions do not amount to Beamin acting as your tax agent. You are responsible for reviewing and approving every return, update or other submission made using the software.

3. Eligibility

To subscribe, you must:
  1. be at least 18 years old;
  2. be legally capable of entering into a contract;
  3. use the service primarily for your trade, business or profession;
  4. have tax affairs supported by the product described in your Order Summary;
  5. provide accurate identity, contact, business and tax information;
  6. hold any HMRC registrations and reference numbers required to use the service; and
  7. complete any identity, eligibility, anti-fraud or software-connection checks we reasonably require.
We may decline an application if we cannot verify your identity, your circumstances are not supported by the software, you cannot connect the software to HMRC or we are prohibited from providing the service by law. Your ability to work with Bolt is separate from this agreement.

4. When the agreement begins

Your agreement begins when we accept your application and confirm your subscription electronically. Your Order Summary must identify:
  • your subscription price and whether it includes VAT;
  • how often payments will be collected;
  • your subscription start and end dates;
  • the software features included;
  • the types of submissions supported;
  • any important exclusions; and
  • how to contact us and cancel.

5. The service

Depending on your selected product, the software may enable you to:
  • create and maintain digital business records;
  • record income and allowable business expenses;
  • import or enter transaction information;
  • generate invoices;
  • calculate estimated VAT and Income Tax figures;
  • prepare draft VAT Returns;
  • submit VAT Returns digitally to HMRC;
  • comply with relevant Making Tax Digital for VAT requirements;
  • create digital records for Making Tax Digital for Income Tax;
  • generate and submit Making Tax Digital quarterly updates;
  • prepare and submit an Income Tax or Self Assessment return;
  • view reminders relating to filing and payment deadlines; and
  • access technical support for the software.
Only the features expressly included in your Order Summary form part of your subscription. Unless expressly stated otherwise, the service does not include:
  • personal tax or accountancy advice;
  • the appointment of Beamin as your tax agent;
  • representation in communications with HMRC;
  • handling HMRC investigations, enquiries, appeals or disputes;
  • determining whether a transaction is legally deductible;
  • Corporation Tax, company accounts, PAYE or payroll;
  • partnership, trust or complex overseas tax affairs;
  • legal, investment, insurance or regulated financial advice;
  • historic corrections outside the supported periods; or
  • payment of tax liabilities to HMRC.

6. HMRC-compatible software

The Beamin product uses software designed to work with HMRC’s Making Tax Digital systems and application programming interfaces. Where applicable, the software has completed the relevant HMRC recognition process or is included within a compatible software arrangement. HMRC recognition or compatibility does not mean that HMRC recommends, guarantees or endorses Beamin or its software. HMRC’s systems are outside our control. We do not guarantee that HMRC’s services will always be available or error-free, but we will take reasonable steps to address technical failures and enable you to retry a submission where appropriate.

7. Connecting the software to HMRC

To use submission features, you must authorise the Beamin software to connect to your HMRC account. This is software authorisation only. It does not appoint Beamin as your tax agent or authorise Beamin to represent you. You may need to authenticate directly with HMRC using your Government Gateway or another HMRC-approved method. Authentication may need to be renewed periodically. You are responsible for:
  • completing the software authorisation process;
  • ensuring your HMRC account and registrations are active;
  • renewing the connection when required;
  • checking that the correct taxpayer and business accounts are connected;
  • keeping your Government Gateway credentials secure; and
  • notifying us if you believe the connection has been compromised.
You should enter Government Gateway credentials only on an HMRC-controlled authorisation page or another secure process clearly identified within the software. Beamin will not ask you to send your Government Gateway password by email, telephone or ordinary text message.

8. Your responsibilities

You remain legally responsible for your tax affairs. You must:
  1. enter complete, accurate and up-to-date information;
  2. include all relevant business income, expenses and adjustments;
  3. provide details of other income where required for a supported tax return;
  4. keep invoices, receipts and other records required by law;
  5. check calculations and classifications produced by the software;
  6. review every return or update before submission;
  7. correct any errors you identify;
  8. submit information by the applicable deadline;
  9. monitor your HMRC account and correspondence;
  10. pay all tax, National Insurance, interest and penalties owed to HMRC; and
  11. seek independent professional advice where you are uncertain about your tax treatment.
Information generated by the software depends on the information supplied or connected by you. If that information is inaccurate, incomplete, duplicated or entered under an incorrect category, the resulting calculation or submission may also be inaccurate.

9. Submitting information to HMRC

The software may prepare a draft return, quarterly update or other submission using your information. Before submission, you must review the information and confirm that, to the best of your knowledge, it is complete and correct. When you select “approve”, “confirm”, “submit” or an equivalent command:
  • you instruct the software to transmit the information to HMRC;
  • you confirm that you have reviewed the information;
  • you approve the submission as your own;
  • you confirm that Beamin is not acting as your tax agent; and
  • you accept responsibility for the accuracy and completeness of the submission.
Beamin will not make discretionary tax decisions on your behalf. Where an automated or scheduled submission feature is offered, it must be separately enabled by you. The software will explain what information will be transmitted and what approval or ongoing instruction is required. A submission is not complete until the software displays an HMRC receipt, confirmation or other successful submission status. You should retain that confirmation.

10. Deadlines

The software may provide reminders, but these are a convenience and do not transfer responsibility for meeting deadlines to Beamin. You are responsible for knowing which tax requirements apply to you and ensuring that your information is complete and submitted on time. You should not wait until the filing deadline to enter, review or submit information. Technical problems affecting your device, internet connection, HMRC account or third-party services may delay a submission. If you encounter a problem, you must contact Beamin’s technical support promptly and take reasonable alternative steps where available.

11. Tax estimates and guidance

Calculations, estimates, illustrations and reminders generated by the software are based on the information available at the time. They are provided to help you organise and understand your records. They are not a guarantee of:
  • the amount of tax you will owe;
  • the amount of any repayment;
  • eligibility for a VAT scheme, deduction or relief;
  • acceptance of a return or claim by HMRC;
  • the outcome of an HMRC enquiry; or
  • future tax treatment.
Tax rules and HMRC guidance may change. You should obtain advice from a qualified independent tax professional if your circumstances are complex or you are uncertain how a rule applies.

12. Fees and payment

Your subscription price and payment frequency are shown in your Order Summary. By subscribing, you authorise us and our payment provider to collect each payment using your selected payment method. The total contractual price for the initial term is the recurring subscription fee multiplied by the number of billing periods falling within the 12-month initial term. You must ensure that your payment details remain valid and sufficient funds are available. If a payment fails, we may:
  • retry the payment;
  • ask you to provide another payment method;
  • restrict paid features after giving reasonable notice; or
  • end the agreement in accordance with these terms.
Subscription fees do not include tax, National Insurance, penalties, interest or other amounts payable to HMRC.

13. Initial 12-month term

Your subscription has an initial fixed term of 12 months beginning on the start date shown in your Order Summary. The 12-month commitment is a material part of the subscription pricing. You may give notice to cancel at any time through your Beamin account, the cancellation feature in the app or the contact method shown in your Order Summary. If you cancel during the initial term:
  • your notice prevents the subscription continuing beyond the initial term;
  • your subscription remains active until the end of the initial term;
  • payments continue on the agreed schedule until the end of the initial term; and
  • you may continue using the included features while your account remains in good standing.
Stopping work as a driver, ceasing to use the software, disconnecting the software from HMRC or deciding that you no longer require the service does not automatically end your payment commitment.

14. After the initial term

Unless your Order Summary says that the subscription ends automatically, it will continue after the initial term on a monthly rolling basis. We will provide a reminder before the initial term ends, explaining the continuing price and how to cancel. During the monthly rolling period, you may cancel at any time. Cancellation takes effect at the end of the current monthly billing period. The subscription will not renew into another 12-month fixed commitment unless you expressly agree.

15. Early termination rights

You may end the agreement before the end of the initial term without paying fees for the remaining period if:
  • we seriously breach the agreement and do not remedy the breach within 30 days after receiving notice;
  • we permanently stop providing the product and do not offer a reasonably equivalent replacement;
  • we make a discretionary material change that significantly disadvantages you;
  • we become insolvent or cease trading; or
  • applicable law gives you that right.
We may suspend or end the agreement if:
  • you provide false, fraudulent or materially misleading information;
  • you use the software unlawfully;
  • you attempt to make a submission you know is inaccurate or misleading;
  • you seriously or repeatedly breach these terms;
  • you fail to pay amounts due after receiving reasonable notice;
  • you attempt to compromise the software or another user’s data;
  • continuing to provide the service would breach a legal obligation; or
  • your tax affairs fall outside the functionality supported by the product.
Where reasonably possible, we will give you an opportunity to remedy the problem first. If we end the agreement for reasons that are not your fault, we will refund prepaid fees relating to the period after termination.

16. Cooling-off and mandatory rights

The product is intended principally for people subscribing for business purposes. If you qualify as a consumer under applicable law and enter the agreement online or away from our business premises, you may have a legal right to cancel during a 14-day cooling-off period. If you ask us to begin providing the service during that period and then exercise a legal cooling-off right, we may charge a proportionate amount for services already supplied where permitted by law. Nothing in these terms excludes or restricts a statutory right that cannot legally be excluded.

17. What happens when the subscription ends

When the agreement ends:
  • your access to paid features may stop;
  • the software will not make further submissions for you;
  • you remain responsible for outstanding and future filing obligations;
  • you should download any available records you wish to retain;
  • you remain responsible for keeping records for legally required periods;
  • we may retain information where required by law or our Privacy Policy; and
  • amounts properly due before termination remain payable.
Ending the subscription does not automatically cancel a pending submission. You should check the status of all submissions before your access ends.

18. Bolt and other third parties

Bolt may introduce you to Beamin or make the service available through an offer. Unless expressly stated otherwise, Bolt is not a party to this agreement and is not responsible for the software or submissions made through it. Beamin is independent of HMRC. Software recognition or compatibility does not amount to HMRC endorsement. Third-party integrations and benefits may be subject to separate terms.

19. Personal information

We process personal information in accordance with our Privacy Policy: https://beamin.co.uk/privacy-policy/ To operate the software, we may exchange relevant information with HMRC, payment providers, hosting providers, connected platforms and other service providers described in the Privacy Policy. Where necessary to administer the Bolt offer, we may share limited information with Bolt, such as your name, contact details and eligibility or subscription status. Further information must be provided in the Privacy Policy and any notice displayed when the information is collected.

20. Account security and acceptable use

You must protect your account credentials and must not allow another person to use your account without permission. You must not:
  • use the software unlawfully or fraudulently;
  • knowingly submit false or misleading information;
  • attempt to access another person’s account or data;
  • interfere with the software’s operation or security;
  • upload malicious software;
  • reverse-engineer or commercially exploit the software; or
  • misrepresent Beamin as your tax agent.
You must notify us promptly if you suspect unauthorised access.

21. Intellectual property

Beamin and its licensors own the intellectual property rights in the software, branding and supporting materials. While your subscription is active, we grant you a limited, non-exclusive, non-transferable and revocable right to use the software for your own business tax affairs. You retain ownership of the records and information you provide. You grant us permission to process them as reasonably necessary to operate the software, transmit your authorised submissions, comply with the law and exercise our rights under this agreement.

22. Availability

We aim to keep the service available but do not guarantee uninterrupted access. We may temporarily restrict availability for maintenance, security incidents, HMRC outages, legal requirements or circumstances outside our reasonable control. We will take reasonable steps to minimise disruption and restore affected features.

23. Liability

Nothing in these terms excludes or limits liability for:
  • death or personal injury caused by negligence;
  • fraud or fraudulent misrepresentation;
  • deliberate misconduct; or
  • liability that cannot lawfully be excluded.
We are responsible for foreseeable losses caused by our breach of this agreement or failure to provide the software with reasonable care and skill. We are not responsible for:
  • errors resulting from inaccurate, incomplete or late information;
  • a submission you approved without checking;
  • tax, interest or penalties that would have been payable in any event;
  • your failure to submit information by the required deadline;
  • your failure to monitor HMRC correspondence;
  • decisions or assessments made by HMRC;
  • problems caused by HMRC, Bolt, banks, payment providers or other third parties outside our reasonable control;
  • unsupported tax circumstances; or
  • losses you could reasonably have avoided by acting promptly.
Subject to liabilities that cannot legally be limited, our total liability arising from the service will not exceed the greater of:
  1. the subscription fees paid or payable during the 12 months in which the event giving rise to the claim occurred; and
  2. Details of our public liability policy can be provided on request

24. Changes to the service or terms

We may make reasonable changes:
  • to comply with legal, regulatory or HMRC requirements;
  • to address security risks;
  • to reflect changes to HMRC or third-party systems;
  • to correct errors; or
  • to improve features without materially disadvantaging you.
We will give reasonable notice of material changes where possible. We will not increase your price during the initial term unless you expressly agree or the change is required by law. If a discretionary material change significantly disadvantages you, you may cancel before it takes effect without paying fees for the remaining initial term.

25. Complaints

If you are unhappy with the software or service, contact us through the Beamin app or using the contact details in your Order Summary. We will acknowledge and investigate your complaint and aim to provide a final response within a reasonable period. Making a complaint does not affect your legal rights.

26. General terms

If a court finds part of these terms unlawful or unenforceable, the remaining terms will continue to apply. A delay in enforcing a right does not waive that right. You may not transfer this agreement without our written consent. We may transfer the agreement as part of a genuine sale, restructuring or transfer of our business, provided this does not reduce your rights. Electronic communications, confirmations and approvals are valid for the purposes of this agreement.

27. Governing law

These terms are governed by the law of England and Wales. If you are acting as a business, the courts of England and Wales have exclusive jurisdiction over disputes relating to this agreement. If you legally qualify as a consumer, nothing in this section removes any right to bring proceedings in the part of the United Kingdom where you live.
